Darlington Oktoberfest 2017

Background

Oktoberfest is the extremely popular folk festival that is celebrated in Munich, Bavaria, Germany at the end of September and beginning of October each year. At the Oktoberfest activities centre around the Beer Hall Tent as guests descend to engage in all manner of music, games, entertainment, food and signing. In the past Oktoberfest has come to London and other large cities but not to other, smaller, national cities.

Challenge

Oktoberfest producers approached The Fair to assist with their initial brief for a new Oktoberfest event in Darlington. The first challenge was ensuring the event was financially viable for the client. We were given a venue and had to maximise the given space to ensure maximum capacity whilst ensuring the event and space remains safe. Using CAD we plotted some structures and drew a table and bench layout to see exactly how many people we could comfortably fit. Challenges were:

  • Joining up three separate marquees to fit around fixed street furniture and lampposts
  • Ensuring the large marquees would fit in the allocated spaces whilst keeping suitable thoroughfares for attendees to move around the event site
  • Ensuring safety was not compromised when designing and marking out the site – the square in question was in the town centre and very busy with pedestrians and vehicles being the main hub of Darlington
  • Due to limited space, the client was concerned they would not reach their desired capacity to ensure the event was financially viable. We worked to make sure the marquees were laid out in a way to accommodate the highest safe capacity possible

Delivery

The Fair worked alongside the client to design the site and implement all pre-build ideas and drawings. To ensure the site plan was implemented accurately, we attended several site visits to mark out and re-confirm site limits, distances between areas and total area for the site to reach the desired capacity.

  • Physically marking out the site prior to suppliers arriving on site
  • Site visits with the client to understand their vision
  • Health & Safety during the build and during live event
  • Liaison with Local Authorities, Police, Ambulance Services on the event days
  • Liaison with key infrastructure suppliers on the first two days of the build to ensure the site was marked out in accordance with the site plan
  • Assisting and advising on a safe ingress and egress of the guests

  • 2,000+ attendees per day
  • Site marked out successfully and the desired capacity achieved
  • Great feedback from suppliers, the client, the local authority, artists and guests alike
